What's Actually in a Production FF&E Schedule: The 32 Columns That Matter

A design schedule and a production FF&E schedule look similar at a glance — both are spreadsheets of furniture. The difference is the columns. A design schedule answers "what does it look like?". A production schedule answers "can I buy it, make it, and ship it without calling anyone to ask?". That second document needs roughly 32 fields, and each one exists to prevent a specific, expensive mistake.

Here's the anatomy, grouped into four families.

1. Identity — which thing, and where

These fields make every line unambiguous and locatable:

  • Item code — the tag that ties the line back to the plan (SO-01).
  • Item name — human-readable description.
  • Category — seating, lighting, casegood, soft furnishing, rug, art, accessory.
  • Room / area — where it lives.
  • Location detail — the specific position within the room.
  • Drawing reference — the plan or elevation it appears on.

Skip these and you get the classic failure: 40 identical chairs arrive and nobody knows which three rooms were short.

2. Specification — what exactly to make

This is the family that turns a name into something a factory can build:

  • Manufacturer / reference product — the design intent anchor.
  • Model number.
  • Dimensions — width, depth, height (and seat height for seating).
  • Material — frame, upholstery, fill.
  • Finish / colour — with a finish code, not just "oak".
  • COM/COL — customer's own material/leather, if the fabric is specified separately from the frame.
  • Fire rating — contract and hospitality furniture must meet local standards; this column is non-negotiable for FF&E.
  • Notes / customization — the bespoke details that don't fit elsewhere.

The fire-rating field alone has saved many projects from a failed inspection on handover day.

3. Commercial — what it costs

The money columns, and the ones most design schedules leave out:

  • Quantity — counted per location, summed across the project.
  • Unit of measure — each, set, pair, linear metre.
  • Retail reference (unit) — design-intent price.

  • Line total — quantity × unit cost.
  • Currency — pinned once for the whole schedule.
  • Attic stock % — spares for replacement.
  • Budget vs actual — the variance column that keeps a project honest.

4. Logistics — how it arrives

The fields that decide whether the programme holds:

  • Supplier / factory — who's making it.
  • Lead time — production plus freight, in days.
  • Packed volume (CBM) — drives the freight quote and container planning.
  • Weight.
  • Packing notes — flat-pack, assembled, crated.
  • Delivery phase — which handover milestone it belongs to.
  • Status — specified, quoted, ordered, in production, shipped, delivered, installed.
  • Lead-time risk flag — long-lead items that gate the install date.

Why 32 and not 8
